Who we are

Huddlepin is run by Huddlepin Ltd, a company registered in England and Wales (no. 17196588), registered office 1 Hanley Street, Nottingham NG1 5BL. We are the data controller for the information described here. We help Nottingham families find things to do. Contact: support@huddlepin.com.

What we collect and why

Newsletter. When you sign up we collect your email address and which link or campaign brought you to us (tags like "utm_source"). We use it to send the Huddlepin Weekender, our free email about family days out. Lawful basis: your consent, given when you submit the form. Every email has a one-click unsubscribe.

Accounts. If you create a Huddlepin account we hold your email address, your first name if you give it, an optional profile photo, the places and events you save, and the first part of your postcode (the outward code, e.g. "NG7") if you choose to share it so we can show what's nearby. If you add your crew, we store each child's name and birth month/year so we can suggest age-appropriate things to do. Crew details and your own birth month/year are encrypted in our database. Lawful basis: performance of a contract (providing the service you asked for). Sign-in works by a one-time code emailed to you, or via Google or Apple sign-in, in which case they share your email address (and name, where offered) with us.

Venue operators. If you list or claim a venue we hold your account details, the listing content you provide, and the venues you manage. Payments for paid plans are handled by Stripe; we never see your card number, only Stripe's customer reference and invoice status.

Contact. If you email us or use the contact form we keep the message for as long as it takes to deal with it.

Where it's kept and who helps us

Your data is stored in Huddlepin's own database on servers in the United Kingdom. The following companies process data on our behalf, under contracts that hold them to UK GDPR standards: Resend (sends our emails, including sign-in codes; based in the US, covered by the UK-US data bridge and standard contractual clauses), Stripe (payments for venue operators), Cloudflare (network security and content delivery), Google and Apple (sign-in, only if you choose them), and Google Analytics and Meta (measurement, only with your consent; see cookies below).

Cookies

Essential cookies keep you signed in, protect forms from abuse, and remember your cookie choice. They're always on because the site doesn't work without them.

Analytics and advertising cookies are off until you accept them. With your consent we use Google Analytics to see which pages help families most, and, on our Hidden Nottingham campaign pages, the Meta Pixel to measure whether our ads led to sign-ups. Without consent Google receives only anonymous, cookieless counts and the Meta Pixel doesn't load at all. You can change your mind any time via the Cookie settings link in the footer of any page (or below), and you can manage how Meta uses data about you in your Facebook ad preferences.

How long we keep it

Newsletter subscriptions until you unsubscribe (we then keep a record of the unsubscribe so we don't email you again). Account data while your account is open; ask us and we'll delete it. Billing records for six years, as UK tax law requires. Analytics data is held under Google's and Meta's standard retention periods.

Your rights

Under UK GDPR you can ask us at any time to show you the data we hold about you, correct it, delete it, restrict or object to how we use it, or give it to you in a portable form: email support@huddlepin.com and we'll sort it within a month. Where we rely on consent you can withdraw it at any time. If you're unhappy with how we've handled your data you can complain to the ICO (ico.org.uk).

What we don't do

We don't sell your data, share it with anyone beyond the processors above, use children's details for anything except tailoring suggestions to you, or make automated decisions with legal effects about you.
